Digital transformation led by IplanRio receives recognition from Google Workspace in public management

Rio City Hall has been recognized by Google Workspace for its digital transformation led by IplanRio, an agency under the Chief of Staff's Office. With the unification of systems and the use of artificial intelligence (Gemini), institutional adoption across municipal agencies has exceeded 95%. For public servants, the change has reduced manual processes, bringing greater autonomy and productivity to their daily work. The Rio model is now an official Google reference for other major cities. This is the second recognition granted by the tech giant to Rio City Hall in less than a year. The first was awarded by Google Cloud for the use of advanced cloud infrastructure and real-time data in the development of the Municipal Data Lake.

More than just a technological achievement, this recognition reflects direct impacts on the delivery of services to the public. With organized and centralized data, integrated communication, and real-time information sharing between municipal agencies, the city government has begun to respond more agilely to citizen demands, reducing bureaucratic barriers and strengthening coordination between departments.

“The goal of technology in public management should never be the technology itself, but rather the impact on people's lives. This second recognition from Google shows that Rio is not just storing data, but generating intelligence and delivering a more agile and transparent service,” says Thiago Trabach, president of IplanRio.

The implementation of Google Workspace achieved over 95% institutional adoption among municipal agencies, totaling more than 11,000 active licenses and approximately 6.3 million files stored in Google Drive. Adopting a single platform allowed for the replacement of isolated solutions with an integrated environment for email, storage, video conferencing, collaboration, and artificial intelligence, simplifying the daily work routine of public servants and increasing team productivity.

Unifying multiple services into a single package also contributed to reducing operational costs and significantly decreased the need for technical support tickets for routine tasks. With more autonomy to access information, share documents, and use digital tools, public servants have been able to dedicate more time to strategic activities and less to manual processes.

Following the initial training sessions for public servants, Gemini usage grew by 10%, establishing AI as a support tool for document analysis, information organization, and increased productivity. Solutions such as Gemini and NotebookLM have become part of the routine for various teams, assisting in decision-making and the execution of complex tasks.

The transformation began in May 2024, when Rio City Hall started migrating its digital infrastructure to the cloud. The project arose from the need to modernize systems, strengthen information security, and expand integration. Within a few months, most of the administration was already fully operating in the new digital environment, consolidating one of the largest technological transformation initiatives ever carried out in the city.

The migration strengthened the city's cybersecurity, allowing for greater control over institutional access, blocking of suspicious domains, and protection of strategic information. The model ensures that public documents and data remain protected in a centralized environment, reducing risks and increasing the city's digital resilience.

With this new seal of excellence, Rio de Janeiro's data governance model is now officially recommended by Google as a reference for other global metropolises seeking to digitize their services without losing focus on legal security and fiscal efficiency.
